But I am not able to finish the completion of the Quality Control table of the second phase (we began the process by a videoconference in June but never achieved) because one partner (Rome) did not declare the total amount of real expenditures made before C5

II – Defaults and solutions /

Note the gap between invests of Italy and other partners is no more a problem since we created an editing fund mainly supported by Rome oin order to attempt to avoid a reduction of our European funds at the end of the process.

D1 Writing of the documentary movie was not done during C4 – only a pitch was choosen : a journey from Ancient to modern times, with a Roman traveller's voice to create a continuum

D2 No new videos were produced to increase the number of rushes available for the final editing of the movie

Bonjour à tous et merci de bien vouloir prendre connaissance des quelques informations transmises dans cette lettre en vue de préparer notre rencontre à Rome en novembre, mais surtout le séminaire international prévu en distanciel en fin d'année dans le cadre du Contrôle Qualité. A cette occasion, il sera notamment question des observations reçues de la part de l'Agence ERASMUS+ dans le cadre de l'évaluation de notre rapport intermédiaire (Periodic Report) dans la mesure où nous avons évité, à ce stade, une réduction de subvention, et qu'il faut tout faire pour obtenir le versement intégral des fonds européens qui nous ont été promis au départ (20% de la subvention reste à solder après la fin du partenariat) : pour atteindre cet objectif, un soin particulier doit être apporté à l'accomplissement de tous nos objectifs (le film documentaire doit être réussi à 100% de même que le site de vulgarisation scientifique) et des explications crédibles être données justifiant le retard dans les dépenses déclarées par l'un des partenaires (raison pour laquelle nous avons suggéré de créer un fonds de montage abondé par toutes les équipes mais principalement l'Italie de manière à appuyer la thèse selon laquelle le lycée Via Emery a provisionné des fonds pour produire le film dont le tournage des dernières scènes est prévu durant C5).


Hello everyone, and thank you for taking note of the information provided in this letter in preparation for our meeting in Rome in November, and especially for the international seminar planned remotely at the end of the year as part of Quality Control. On this occasion, we will discuss the observations received from the ERASMUS+ Agency in the context of the evaluation of our interim report (Periodic Report) to the extent that we have avoided, at this stage, a reduction in the grant, and that everything must be done to obtain the full payment of the European funds that were promised to us at the start (20% of the grant remains to be paid after the end of the partnership): to achieve this objective, particular care must be taken to achieve all our objectives (the documentary film must be 100% successful, as well as the popular science website) and credible explanations must be given justifying the delay in the expenses declared by one of the partners (which is why we suggested creating an editing fund funded by all the teams, but mainly Italy, in order to support the theory that the Via Emery high school set aside funds to produce the film (the shooting of the last scenes of which is planned during C5). Since in the case of a final reduction of our European grants, the effect should be concentrated on the Roman partner (due to the fact it is the only partner who did declare grants we asked for to organize C1/C2/C3 and C4 were not totally spent).

Please send me your bank details as soon as possible (even if the recipient account has not changed) so that our Manager can pay you your share of the second tranche of European subsidies (the amounts due to each school are the same as for the first payment and equal to 40% of the totals mentioned in the application). Any transfer fees may be deducted from the transferred amount according to the pricing policy of your financial institution and/or the rules of the State concerned; we will wait until we receive the letter from your manager indicating their decision to participate in the assembly fund before sending you the funds (as a reminder, the plan is not to immediately deduct your share but to deduct it later from the remainder 20% that the Agency will pay us after the final acceptance of the final report). Note it would be useful to send to me all the taks reporting grids from january (most of schools forgot to do that) for the valorizationof the domesic activities in each country ; also to give me informatino concerning the ocal dissemination you did (see as a sample the page https://legendplus.franceserv.eu/index.php/projet4/mediatisation-be-bo-p-communication in our LegendE+ website / but the agency would prefer us to be on TV screen!).

Last mobility to France must be definitively scheduled during the cooperative activities made in Roma (IRL workshops in the framework of the LTTA session we use to call C5). Due to the aim assigned to C6 multiplier event : to show some common dances and an European show, it must be fixed at the end of May, 2025 : the exact moment will depend of the Town wich give us a free acces to the theater.


DEADLINES

A blog dedicated to the writing of the documentary by the learners (TERMINIS MUNDI task) is open at https://beboperasmusbox.blogspot.com/.

Matilda and Elena will send to your pupils some instructions in a couple of days ; we hope to find in each schools some sutudents leaders able to cooperatte from July to the 15th of october to achieve the work we began inthe LAM in Montijo, to choose the rushes to be employed and to fix the missing scenes to be shot in each shool before C5 or to be realized in Rome in november.

The work process will be published in some special pages and the teachers will have to make the pont in nocvember, 2025, before the Italian meeting. Compliance with deadlines will be strongly recommended so that deliverables are shared at each stage with a view to final and concerted decision-making.

Note every team member can write and publish some contents in the blog (but I need you to give me a gmail address ; the final edition right is reserved to the moderator to be sure the common tool is available and well presented).

VERS L'INFINI ET AU DELÀ

Please try to send some contents in the Be.Bo.P explorer site before C5 / especially the Montijo team since we wait for the Portugueses team a special investisment concerning the exploration of the planet in the past and « discoveries » of new worlds by the European sailors since the 15th century to enrich the HISTORY part of the site. Turkey and France will have to meliorate the SCIENCE (MATHS-PHYSICS) part and everyone can contribute to a more artistic part (drawings focused on frontiers to be edited – we'll propbably do a contest in France and the winner may be invited in Rome). Reminder the Be.Bo.P explorer site is not designed to insert the report/review of activities and mobilities : to be edited in the school sites or in the common showcase (LegendE+) as an overview of outcomes and backgrounds is shown in NBE+


REPORTING

C4 online reports are not still finished... but I am trying to do that asap !


TRAVELLING

Perhaps we can buy the flights tickets before July if we have a good idea of our budget. Please to Italian team members to let us know the plan for our accomodation in Rome and the costs. Probably we can divide each day in Italy with : a little time at school in the morning (or with school but not in the buildings / for cultural trips or something like) and film making workshops each afternoon (4 or 5 missing scenes to make together following the plan fixed by students in the TERMINIS MUNDI process).

BB22 / LAST NOTE BEFORE THE STUDY TRAVEL TO PORTUGAL

Hello everybody, thanks for your attention

  1. Note first we'll implement a special meeting of our Board (conseil d'administration) on Thursday at 3.30 pm (local time). Almost all of the Be.Bo.P project holders are members of the NGO, whose name is the ILARGIA LEAGUE of European Teachers associated for the reuse of genial innovations and activities (except a little numbers of them: who where in the crew but are no more... or not still!). Everyone may assist to the meeting, only implemented in order to register the expenditures made for holding European projects the association is carrying out (and speaking a little on the topic of the next symposium at the end of 2025). I believe it will done quickly - we'll disseminate at the same time on line...

  2. It seems no one has made any proposal in the IDEAS BOX open from january. It is a challenge and could become a problem if this space stays empty before the workshop devoted to the writing of our documentary film. Moreover I am not sure creating a collaborative spot to achieve the common task may be useful in this case. Please ask your students to send some ideas using the questionnaire available from https://nbeplus.franceserv.eu/IDEAS.html

  3. Be aware on budget question. I hope the second part of our grants will be paid in March (theoretically it must be done just at the same time of the meeting in Montijo) and I am confident enough we have no reduction of these funds (cross fingers). But I must warn you that the National Agency is looking our expenditures with many attention. The risk to have a reduction of the total grants does exist, due to the explanations we'll have to indicate to justify the high level of investisments by the Roman team in the last period of the project implementation, considering the Italian organisation is the host of the C5 LTTA. We shall must insist on the filming sessions - which are as a special need (all the missing scenes to be added to the rushes are supposed to be made in Roma) but we may also ask to partners to create a special funds for the montage, with a more substantial part from IIS Via Emery (?) Anyway, at this stage, in case the N/A should decide to reduce our funds, it could not be taken to partners who spent all the grants they claimed for but only to entities who claimed some money they did not totally use... BB19 - LEADS FOR C3 MOBILITY / EXPLORE THE FRONTIERS BETWEEN KNOWN AND UNKNOWN IN CLUJ-NAPOCA

C3 GOALS from the 4th to the 10th of November in Cluj-Napoca


WP 1 – Management


C4 must be definitively scheduled. At this time, we have no guarantee about the possibility to send our progress report we prepared in june, 2024 before march. In the eventuality, it means we cannot obtain the second part of the European money we are still waiting for before next summer. So all school partners must fund the C4 mobiliy with their own ressources before to be repaid later. In fact, it is the normal way of the implementation of ERASMUS+ cooperative actions. The National Agency staff is no more so optimistic it was last year: it is staying now in the belief the commission will not change her payment calendar, which is mentioned in the Be.Bo.P contract. If most of the partner schools can find a solution to involve even a little delegation in the cooperative activity located in Portugal, I do think the best is to maintain C4 as it was in the original plan; It shall be indeed possible for one of the partners to add some people more later, in the following meetings, to make a compensation if both its learners and teachers are not implicated in C4 – we sometimes did this sort of things in the past ! But anyway the travel to Montijo was only presumed to be done from the 17th to the 21st of March and the dates must absolutely be confirmed.

Note the alternative could consist of postponing C4 LTTA from the beginning to the end of 2025: it's a big risk because doing like that means we do not apply the plan – first criterion to be supported by the commission without any penalty! And in addition we will waste time and have problems to finish our documentary film (but we have already lost our expert and will have to do by ourself most of the works!). Last inconvenient in this eventuality : we have to implement 3 meetings in the same school year 2025-2026: perhaps it is too much for our headmaster and he will not accept?

Please think on it before, see with your managers how it is possible to make without any new grant.. we need to take a resolution in Cluj. And it could be keeping the original date in March or in Springtime even if we cannot be all together in the meeting.

A little symposium must be implemented at the same time we'll do the 7th General Assembly of the ILARGIA League of Teachers created in 2018. It should be very kind if all of you agree to take part in. It will be centered on the question : why a project (or a candidacy) is bad rated by EU evaluators ? As Genius 2022 in Cluj was focused on Good Projects, Scholar 2024 can target the problems we have with the changes in the ERASMUS+ process and present the challenges we must overcome for enhance our chances in the future selections and ensure the quality of the results of our ongpoing project. As a sample of things we must meliorate : the field trips during the LTTA must be motivated by activities : ie if we go from Cluj to Alba Iulia during C3 study travel, it is for our students (dispatched in some international teams) make some interviews of tourists, migrants, politics (I do not know if we'll do this activity it is only a sample of the necessity to present every day as a transnational educational session and not as a touristic journey!)


WP 3 – VERS L'INFINI ET AU DELÀ


A situation point is necessary about Scientific topics in the project (A7-A8) and the progress of partners. We hope the Turkish team will give during C3 the tools for each local coordinator to feed the national section in the Be.Bo.P explorer blog (A9) with art (drawings) or History (exploration and discoveries) and the productions made in Python language may have a beginning very soon.


WP 2 – SUR LES FRONTIÈRES


No deliverables to be done separately in order to be presented to other schools in Romania (this way of share was only appropriated for C1 and C2 meetings). Some of the students can make a quick comment on the international coworkings we remotely produced in the framework of the last ERASMUS MOB (in attachment) but the most useful contribution should consist each school making of a few interviews in English made at home we should perhaps put in the documentary. If you have time enough to prepare it, your students can show some presentations devoted to Science History and/or the limits between Known and Unknown as indicated in our schedule (activity 6,1). Or teachers will make a short report.




WP 4 – DANS TOUT LE ROYAUME

Producing some local video interviews and surveys on : travel, migration and borders is the priority (A10,1) in this phase and for the C3 agenda
Online courses by our cineast expert are probably forever cancelled (the reason is we cannot pay him) ; perhaps the Romanian team can find some local ressources for aworkshop with the aim of collecting some ideas from learners to prepare the documentay film's pitch ? I let Ramona and Monica take the decision about. Perhaps we can open an idea box online and/or prepare a videoconference centered on this topic (#Erasmusdays in october can be an opportunity to organize some virtual talks ?).


IN ATTACHMENT:

the debrief of the remote workshops we did in May and a lead for next year is to join the SEE.SHORE eTwinning to enhance the dissemination of the part of the job we use to do online in the framework of Be.Bo.P



Hoping these suggestions and reminders may have the Colegiul economic « Iulian Pop » to imagine the next located cooperative activity C3.

REMINDERS

1 – Educational context

C3 cooperative activity was definitively fixed (as written after the remote seminar R2 in +IC17 note) and it will be implemented in Cluj-Napoca from the 4th to the 8th of november (5 days / plus 2 travel days you can add if necessary). French partners will come as a little squad (2 teachers and only 2 students) to avoid to waste money as costs are increasing... Learners will have first, in Cluj, to produce some interviews of migrants or foreigners, refugees, tourists.. or people acting as experts in frontiers' reality or witnesses (expats, minority members, and so on) and we hope the Romanian teachers will find selected people ready to answer to questions asked by our students. My aim is to be more efficient in the number of videos we'll manage to edit in english and to share.

The second phase is now opening : one question will be: the frontier between Science and Unknown (specially in the framework of the mobility in Transylvania) and another subject will interest us: exploration of limits and the History of Frontiers (mainly studied in Montijo) but the first transversal goal in this school year is beginning to develop « Be.Bo.P explorer » especially thanks to Maths and Science teachers. A training by Turkish team should be useful to be implemented in Cluj to show to users how they can fill the website (i.e. publishing some drawings/contents).

Concerning methodology : cross presentations made in the past in the context of Module 2 (SUR LES FRONTIÈRES) and sometimes presented during the travels were a way to begin the cooperative process during the first school year but are no more very strategic. The priority must be : make students of different schools work together (and no more separately). That is the reason why productions in the WP2 may be, from now, remotely done together (and no more separately). My plan as LegendE+ webmaster is concretely to publish as samples of C3 deliverables in november the results of the remote workshops we have made in may (but no more any output made alone by one of the partner schools).


2 – Financial aspects

TOTAL SPENDS : DURING THE FIRST PHASE BY EACH PARTNER SCHOOL


Only fourty percent of the European Grants were paid to our schools but we did declare some very different levels of spends (French school used 70% of the total amount of promised funds and Portugal 44% but all the other partners spent less than the first payment they already obtained). Adding C3 must make the 40% of the total grants to be targeted by most of us...


CHALLENGES

1 – Our Periodic Report (and the « Euro Gap » situation)

It is presumed to be sent only in March, 2025 - and it's after the acceptation of our results that the National Agency eventually will pay the second part (40%) of the European Grants the commission did promise to give in order to support Be.Bo.P No way for me to write in advance the report progress (former name of this step in the Follow Up) except if a test tool is experimented. But it is not still the case even of BENEFICIARY MODULE tool is open : the managers of the French Agency have some talks with the UE technicians in Brussels but only the commission can make the test tool available or not. I did hope it should be done during the summer but actually nobody knows... National Agency seems now in doubt of any imminent solution.

According to our Financial Convention, we are supposed to wait for the second part of our money till June or July 2025 : it is up to us to make some advances or to find cofunding systems before the EU give us a remboursment.

It is theoretically the business of each school to deal with the problem but I am afraid a postponement of our activities may affect our partnerhip due to this lack of funds. Organize C4 in March in Portugal as it is in our scheduling table must be our common goal : this cooperative study travel shall not be efficient if some of the partners are not present ! But a delayment (hoping for all the schools joining the mobility implemented later) should be very difficult : three last travels will in this case stay be done in 2026, before the end of june ? A final decision must be taken during C3.


2 – Vers l'Infini...

Due to the same weakness of our financial support, we lost our expert Louis Fabriès. It means we have no more way to pay him for supporting in the future the documentary project. Perhaps he will accept to help us a little, freely... But it is not sure. I believe the work of writing and editing the film, entrusted to amateurs (in addition to the shooting) risks presenting many difficulties that have not yet been noticed until now. After C3 meeting we can implement a remote brainstorming to treat the question of the documentary scenario (after some first real debates made in Romania and perhaps the opening of an idea box as soon as we come back to school?) ; writing is to be finished in C4 according to the plan (reason why we selected two students for this job in our school who were already implicated at the beginnings of the Be.Bo.P partnership – present in C1). Each partner can identify human ressources in its area and film them to add the rushes to the final edit or contact them to introduce them to the European team as part of a localized "inbound" cooperation.


POST SCRIPTUM : my intention is to address you early in september the debrief of the remote workshops we did in May and a lead for next year is to join the SEE.SHORE eTwinning to enhance the dissemination of the part of the job we use to do online in the framework of Be.Bo.P

C2 COOPERATIVE MOBILITY TO BALDONE AND RIGA: FIRST REPORTING PAGES ARE ON LINE

People can find from today the debrief of the study travel done from the 8th to the 12th of april, 2024, in Latvia. This overview was made for project holders in the special website dedicated to management, monitoring and Control Quality of the ERASMUS+ partnerships held by Lycée Ravel (Notre Bureau Européen NBE+ / Background of all the european projects).


In a couple of days, deliverables and other outcomes will be valorized in the LegendE+ website devoted to Erasmus+ dissemination. Thanks to participants to send to the coordinator all the appropriated contents still missing.

WARNING: It seems that the decision to swap the place of implementation of the cooperative mobilities named C3 and C5 results from a series of misunderstandings. Ultimately, for the Italian team, C5 in November 2025 is a good solution. And the maintenance of C3 in Cluj-Napoca is also satisfactory for the Romanian team. The initial schedule is maintained as is, contrary to the decision apparently taken at the conclusion of the debates held in Cesme... but take care that C5 slips after the summer of 2025: in November (due to the limitation of two outings at most each year, imposed by the coordinating high school). One of the remote meeting (R3/R4) may be postponed too...

C1 DEBRIEF AND DISSEMINATION TABLE \/\/

The drawing produced by the students will serve as a common coat of arms for the partners and will now appear on all official documents (correspondence, attendance certificates, media sites). The laurels evoke the initial logo of the project, which remains in force for internal exchanges between project holders and as a “brand” of the coordinator and the Be.Bo.P section on the NBE+ (Notre Bureau Européen) site. Laurels evoke the different empires and the status of borders, at their limits as well as within their vast territories, but they also allude to Greco-Roman civilization, studied by the target group in France, the country initiating the partnership. The rope evokes the naval specialization of the Turkish secondary school, organizer of the first exchange, and the limit between the sea and the continent, a natural but also political border, interface and dividing line. It also refers to the imagination of travel. The blades of the central windmill recall the transitions in progress and feature the flags of the countries represented in the cooperation; they are arranged around a very “small planet”, in order to underline that our world is faced with challenges that no nation can claim to meet alone. The twelve stars refer to the European Union and more broadly to the need for solidarity and unity in order to support a transnational collaborative effort.

C1 OUTPUTS

The most part of the Be.Bo.P intellectual outputs are published in our project showcase, whose name is LegendE+ (also managed by Lycée Ravel). It is done in the section names DELIVERABLES made to promote all the works we exchanged during the meeting; this part will be completed in the future.. each mobility marking a deadline for the products we planned to realize at home, according our Work Timeline (centered on WP2). But most of the expected production (and the best ones) resides in the transnational workshops concretely implemented in the framewok of the cooperative mobilities: the results will be promoted on the scientific popularization site (Be.B.o.p.explorer - unless there is a last minute name change – three parts: Science tools, Discoveries, Drawings ) or in the VIDEO/DOCUMENTARY section soon to open (from of C2) in LegendE+ / please put information in your own school site and/or some links to LegendE+

      1. Tasks reporting procedure: inventory, gaps, activities to be described before the month of June to help draft the interim report.

      2. Budgetary situation: we will need each school to establish the total amount of costs it has incurred, before C2 then after C2. It is necessary to show an overall consumption of 70% of the first tranche (by all the partners and not by each of them) to be able to claim payment of the second part of the subsidies.

      3. Setting the timetable: at least approximate dates for localized cooperation C4, in Portugal (planned in January according to the application) and -if it's possible- precise for C3 (with a view to pre-recruiting students before going on vacation this summer).

CHECK POINT 2 

    My dear colleagues, as you know: we must strictly apply our activities plan in the hope to be funded before Christmas (we need very quickly the second tranche payment in order to organize mobility C4 and the following activities and that is the reason why our objective is to send the progress report to the National Agency in June). To succeed in this challenge, Sanita implemented three brainstorming sessions during C2 but we'll try to overcome all the problems during the two first project holders plenar comittees (it may let us free on Friday afternoon). A common feedback process is to be done after CP1 and CP2 (first pedagogical phase termination) 

    Our agenda:

    1 Missing information or contents and decisions about Timeline: C3 date must be fixed, and your tasks reporting tables be sent to the International Coordinator / normally at the same time you are doing the workshop. Slides or videos made with C1 as a deadline (shown during the strudy travel or not) will be edited in LegendE+ in a couple of days. Please accept each school has 10/15mn in the sharing workshops for the students to present themselves and shortly explain what sort of activities they did in link with the project, but consider only a sample is to be exhibited in front of the partners. The other contents (mainly carried out in the framework of WP2) are published in our public website devoted to propaganda.

    2 Internal and external dissemination: NBE+ for the project's background and LegendE+ for the public dissemination. Instructions for the best use of all the schools websites and reminder about “Be.Bo.P explorer”.

    3 Organisational and Pedagogical issues: Quality Control: not only satisfaction measurement but conformity to the initial engagements and efficience (impacts, spends) WP5: what's about A13 Activity (Séverine and Ramona are leaders for this activity)?



Scheduling

Find below the timeline for Cooperative mobility C2 (it's a draft, Latvian team may have to make some changes). Please try to give to Baldone's team information about your flights and the rooming very fast. Reminder the goal is to take 4 or 5 pupils in each study travel and it means 20/25 learners in the totality of the partnership's process. You can adjust this number to your financial situation, even if the Agency does consider it's a better strategy to make all the mobilities you promised or even to add students more. WP5: performing a first common ballet is planned. WP4: training and practical exercices will be implemented under the supervision ofw our external expert (Jean-Luc and Ana as leaders). WP3 activities: in each school for this time. WP2 goals: mainly across visits and reporting. Sharing of local outputs is no more the bigger challenge of the KA2 partnerships Most of the sharings could be remotely done by videoconference but mobilities stay useful to mark the deadlines.

EXTERNAL PROPAGANDA. 

Best outputs and deliverables are shown on the LegendE+ website https://legendplus.franceserv.eu/ ; your local website must have a link to this showcase and you may at the same time open some dedicated pages in your own portal. It is possible to give you the right to post by yourself in the NBE+ blogspot or to put online files but the IC can do it as well. Concerning Be.Bo.P explorer we are still waiting for a confimation of the site's name and each schol will have to choose a special user to nurish it. Reminder: three sort of contents are wanted for esplorer. Maths and Physics (mainly by France and Turkey) History of Sciences and Discoveries, drawings.

AFTER C1 IN CESME

Photograph report was done and published in NBE+ and the good relevance of implemented activities was analyzed in the same website / you'll find asap some observations about the Quality in the FOLLOW UP part even if we'll try to make a joint review after C1 and C2 (common feedback of CP2 and CP3).

I am preparing the edition (before the end of next week or I hope so) of the deliverables in the LegendE+ public site where a video report will be also available. Probably some of your products are not on my USB ( I tried to pick up the materials in the Ulusoy School's Theatre). Missing ones can be given during C2.

For the moment I keep in my archives the other contents you sent me in order to see it later. I think you well understand you are very free to make every sort of activities around our topic (known/unknow and borders transgression) as an addition to the main matters we are obliged to deal with... but do not forget we must fist try to accomplish the promises done in the applicant form. The International Coordinator must be able to explain the reasons of any change we may collectively decide.
